24 hour emergency assistance (provided by the Guardian)
A guardian will be assigned to your child, located within approximately 2 hours journey time to the school. This is a DBS checked guardian who directly oversees your child’s stay in the UK and offers emergency/distance pastoral care. The guardian offers a 24 hour emergency contact service and acts as the UK based care-giver in the parent’s absence. Please note costs such as emergency accommodation will be deducted from the expense account, with receipts provided.

Office-based guardianship manager
An office-based guardianship manager at our company will be assigned to your child and will be your main point of contact. Your guardianship manager oversees and coordinates your child’s overall stay while under the care of their guardian, and is available Monday to Friday 10:00 until 18:00. They will also manage your expense account and be on hand to answer any questions.

Assistance in arranging homestay accommodation during the school holidays
Assistance in arranging homestay accommodation during the school holidays will be given. Host families will be assessed according to British Council and AccreditationUK guidelines and will be CRB/DBS checked. Please note, host families are usually located in suburban ‘family friendly’ areas. Although we endeavour to place your child in the area requested, we are unable to guarantee specific locations. Parents are under no obligation to accept the accommodation offered and are free to make their own alternative arrangement. Please note that if parents do accept the homestay accommodation offered and proceed with the booking, they will be subject to the terms and conditions of the booking/homestay provider used.

Assistance in arranging accommodation during term times, if required
If your child is attending a school that does not offer accommodation, we can offer you assistance in finding something suitable for your child’s needs. Being one of just a very small number of accommodation agencies to be recognised by The British Council, having over 10 years’ experience in placing students in accommodation, and a large network of accommodation providers (including homestay hosts), we are perfectly placed to advise you in finding the best possible accommodation. Please note that due to UK fostering laws, under 16s can only stay in homestay accommodation for a maximum of 28 nights.

Arrange for your child to be met at the airport upon arrival and arrange transportation for your child from the airport to their school
Assistance will be offered in arranging a ‘meet and greet’ and airport transfer service at the airport upon arrival and departure. Using our experienced student transfer providers, we can offer you assistance in choosing from a range of services from a basic airport transfer to a full meet and greet service. This service is paid for by money taken from the expense account after parental approval. This is a non-obligation service. If assistance is not required, parents are welcome to make alternative arrangements for their child’s transfer, however we ask that we are given the details to pass on to the guardian and to the school.

Will visit your child at their school
The guardian will visit the school on 3 occasions. Firstly, upon arrival to ensure the student arrives at their school safely and successfully enrols. Secondly, the guardian attends parents evening, speaks with teachers/tutors and reports back to the guardianship manager and parents. Finally, the guardian visits on the last day of term, ensuring that the student departs their school and is safely ‘handed over’ to their next caregiver.

We will contact you to let you know that your child has arrived safely at their school
Once your child has arrived at the school and is safely enrolled, with en loco parentis having been passed to the school, the guardian will contact you by SMS/email to let you know that your child has safely arrived. They will also report the child’s safe arrival to the guardianship manager. The guardianship manager will then email your family to confirm your child’s safe arrival and enrolment in their school/accommodation.

Arrange the transfer of your child from their school to their host family and back again at the end of their stay
As with airport transfers, assistance will be offered in arranging a ‘meet and greet’ and taxi service to pick your child up from their school and transfer them to their host family during the school holidays. We will also assist in arranging the transfer back to the school at the end of the school holiday. This service is paid for by money taken from the expense account after parental approval. This is a non-obligation service. If assistance is not required, parents are welcome to make alternative arrangements for their child’s transfer, however we ask that we are given the details to pass on to the guardian and to the school.

Assisting with mobile phones and top up cards purchasing.
Arriving in a foreign country with no method of communication can be a frustrating experience. We will be happy to assist arranging the purchase of a mobile phone for your child and manage their credit top ups. Payments for the mobile phone and the credit top ups will be made from the expense account at the rate agreed with the parents.

Liaise with the school on educational matters, giving feedback and advice to the parents
The guardian assigned to your child will take a friendly, informed and active interest in their wellbeing and academic progression. The guardian will keep in regular contact with your child’s school, speak with their tutor, and in conjunction with the office based guardianship manager, report back their finding, giving advice on education matters where appropriate.

Attend parents evening, providing a comprehensive feedback report to parents with advice on educational choices.
The guardian will act on the parent’s behalf and attend one school parent’s evening per term. During this visit they will fulfil the role of the student’s parents, meeting with teachers/tutors, heads of year etc. The guardian will take an active role in the evening, asking the school for their feedback on different subjects and overall progression. They will report their findings, adding their own comments, observations and advice. This report is then emailed to the guardianship manager who will also add their comments and advice where applicable. The final parent’s evening report is then sent to you, giving you a clear idea of your child’s academic progression. Reports can be translated into your native language at additional cost.
