Watch: How the Homestay Booking Process Works
A step-by-step guide to finding your perfect London host family
How long does the booking process take?
Typical timeline (where suitable homes are available):
- Application to first reply: usually 1–2 working days
- Reviewing options to host confirmation: often 2–5 working days
- Payment to confirmation pack: usually 1–2 working days
Overall, this is often around 1–2 weeks from application to move-in, but it can be quicker or longer depending on your dates and requirements.
If possible, we recommend applying 3–4 weeks before arrival. If you need to arrive within 2 weeks, please email us and we will do our best to prioritise your request, but availability cannot be guaranteed.
How it works
Apply online
Complete the application form with your dates, study/work location, and preferences. The more detail you provide (and the more flexible you can be), the easier it is to match you quickly.
We review your request
We check availability and look for homes that fit your needs. We usually reply within 1–2 working days. If your request is very specific or your dates are close, it may take longer — we’ll keep you updated.
We send suitable options
Once your request is clear, we’ll email you available host profiles for you to review. Each profile typically includes location/transport links, room type, household information (for example pets or smoking), and any key house rules (and photos where available).
For urgent requests, we may send the best available match first to save time.
You choose your preference
Tell us which option you prefer (and any second choices). If you have questions about location, commute time, or what’s included, ask us — we’re happy to help.
The host confirms
Hosts also choose which bookings they accept. We contact your preferred host(s) in priority order and confirm who can accept your dates.
Invoice and payment
Once a host accepts, we’ll send an invoice showing the total price and any applicable fees/supplements. Payment options will be shown on your invoice.
Full payment is needed to confirm the booking. Please pay by the due date on your invoice — if payment is delayed, the host may accept another booking.
Booking confirmation pack
After payment is received, we’ll send your confirmation details, including host contact details and arrival guidance.
Out-of-hours emergency support details are provided at booking confirmation and via our office voicemail.
Contact your host and agree arrival details
Introduce yourself to your host (email or WhatsApp is fine), confirm your arrival time, and share anything important (for example allergies, access needs, or travel delays).
Typical check-in times (unless agreed otherwise):
- Weekends: check-in after 14:00 and before 20:30
- Weekdays: arrivals are usually after 18:00 and before 20:30
If you need to arrive outside these times, tell us in advance. We will try to arrange this with the host, but it depends on whether the host is available and agrees.
Move in and settle in
Arrive at your agreed time, follow house rules, and let us know early if you have any concerns so we can help.

What we need from you
To match you faster, please include:
- Arrival date and expected departure date (or number of weeks)
- Your study/work address or nearest station
- Preferred zone or area (if you have one)
- Meal plan (self-catering, B&B, or half board)
- Any essential requirements (for example allergies, mobility/access needs, medical needs)
- Any preferences (for example pets, single/twin room, quiet home)
About viewings and photos
We do not offer pre-arrival viewings. This helps protect the privacy and safety of guests and hosts. Instead, we provide host profiles so you can choose based on clear information before you confirm.
If you have a specific question about the homestay, we are happy to pass your message on to the host.
If you are aged 16–17
We arrange individual under‑18 placements for students aged 16–17 only. We do not place under‑16s individually.
For more information, please see our Safety hub.
Need help choosing?
If you are unsure about zones, travel times, or which meal plan is right for you, contact us and we’ll guide you.
